Evidence checklist for a short-term rental damage claim

What a damage claim asks of you

When a guest damages something, the platform or your insurer asks for the same things every time: proof of the item's condition before the stay, proof of the damage after checkout, what the repair or replacement cost, and when each of those things happened. Hosts lose time, and sometimes the request itself, hunting for photos spread across a camera roll.

The checklist

  • Before photos, dated. Photograph each room and each high-risk item before check-in. The date matters as much as the image.
  • After photos of the damage. Shoot wide to show the room, then close to show the damage. Same angles as the before set where possible.
  • Receipts. The original purchase receipt if you have it, and the repair or replacement receipt once you have one.
  • A written note, written that day. What you found, when you found it, and who reported it. Notes written at the time carry more weight than memory.
  • The stay details. Booking dates, guest name, and checkout time, so every piece of evidence ties to one specific stay.

Why organization by stay matters

A single dated packet for one stay, with before photos, after photos, receipts, and notes in one place, is easier to read than a folder of unlabeled images. Decisions always rest with the platform or insurer reviewing the claim; organized evidence simply makes your side of the file complete.

StayTurn keeps the files you add for that stay together on your device. You export the file. You decide what to send. It is a $39 one-time kit that keeps photos, receipts, and turnover notes organized by stay on your own device, and exports a date-stamped packet when you need one. See the Solo kit.
